Navoqo is built to collect less, expose less, and retain less. This policy explains how we handle personal information when you visit navoqo.com or use the Navoqo product at app.navoqo.com.

Product boundary
Navoqo is a client follow-up tool and status tracker. It is not a document vault and not a client login portal.
Who is responsible for what
When you create a Navoqo account, we process your account and workspace information as an organization responsible for that data. When you enter client names, client emails, or other client details into Navoqo, you are responsible for having a lawful basis to collect and use that information. Navoqo processes that client information on your instructions to provide the service.
- You decide what client information to enter and who receives status updates or payment reminders.
- Navoqo provides the software, hosting, and operational controls described in this policy.
- Payment card details are handled by Stripe, not stored by Navoqo.
Why we use personal information
We use personal information only for clear, limited purposes related to running Navoqo:
- Creating and administering your account and workspace.
- Delivering client status updates, payment reminders, and related transactional emails you initiate.
- Operating billing, subscriptions, and customer support.
- Securing the service, preventing abuse, and maintaining reliable backups.
- Understanding product usage through analytics when you consent to analytics cookies on this marketing site.
- Complying with legal obligations and responding to valid requests.
Data we keep
Selected personal fields — including client name, client email, and payment links in the product — are encrypted at rest.
- Workspace and account details required to run the app.
- Client file status history and short internal notes.
- Payment follow-up details such as amount, due date, and hosted payment link.
- Transactional message logs for traceability.
- Contact form submissions sent from this website.
Data we intentionally avoid
- No sensitive document uploads.
- No card numbers or direct card handling.
- No client login credentials.
- No public exposure of internal notes or team-only details.
Service providers
We use trusted providers to operate Navoqo. They may process personal information only to deliver their service to us and under appropriate contractual safeguards.

Cross-border processing
Navoqo is operated from Canada, but some service providers process or store information in the United States or other countries where privacy laws may differ from those in Canada, including Quebec. Where required, we rely on contractual protections and operational safeguards when personal information is transferred outside your province or country.
How long we keep information
We keep information only as long as needed for the purposes above:
- Active account and workspace data is kept while your account remains active.
- Archived client files in the product are eligible for deletion after 365 days unless a longer period is required by law or needed to resolve a dispute.
- Database backups are retained on a rolling basis for disaster recovery.
- Contact form submissions and support correspondence are kept as long as needed to respond and maintain an audit trail.
- Analytics data collected after consent is governed by the retention settings of the relevant analytics provider.
Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information we hold about you, and to withdraw consent where processing is consent-based. Quebec residents may also have additional rights under Law 25.
- Account holders can update profile details in the product and rotate or revoke client status links.
- You may request access, correction, deletion, or portability by contacting our Privacy Officer.
- We will verify your request and respond within a reasonable period, subject to legal exceptions.
- If you are an end client of a Navoqo customer, please contact that business first; they control the client data in their workspace.
Security incidents
We apply technical and organizational safeguards designed to protect personal information. If we become aware of a security incident involving personal information that creates a real risk of significant harm, we will investigate promptly, take steps to contain and remediate the issue, and notify affected individuals and regulators as required by applicable law.
What clients can see
Client status pages use secure token-based read-only links. Workspace owners can rotate or revoke these links at any time. The page only shows client-safe status and payment context.
Cookies and analytics on this site
This marketing site uses essential cookies needed to operate the site. Analytics cookies, including Google Analytics, load only after you accept analytics in the consent banner. You can change your choice by clearing site cookies or waiting for the consent choice to expire. The signed-in product at app.navoqo.com uses the same consent approach for analytics.

Navoqo is available in: Canada, United States. Supported languages are English and French.
