Customer Story β€” Tax Preparation

How Maria cut filing-season status emails by 80% and collected $7,200 in overdue invoices faster.

A solo tax preparer with 47 individual returns and 12 small-business bookkeeping retainers. Every February through April, she was drowning in "Where's my return?" emails β€” and chasing invoices that had no reminder system at all.

The Problem

Before Navoqo: fourteen hours a week managing her own inbox.

Maria used a spreadsheet to track her active returns and a shared Gmail label for client communication. It worked fine in November. By February 10, it had collapsed.

1

The status email loop

By week two of February, her inbox had 23 unread messages that started with some variation of "Just checking in on my return." Every answer required her to open the spreadsheet, find the row, check what she had received, and write a custom reply.

"I was spending Sunday nights just catching up on status emails. That was time I should have been using to actually prepare returns."

2

Missing source documents

Six of her Schedule C clients were missing W-2s, 1099-NECs, or investment statements by March 1st. These were tracked in a column she had added to her spreadsheet β€” but there was no automated follow-up. She sent reminder emails manually, sometimes a week late, sometimes not at all when she forgot.

"I found a K-1 sitting in my inbox for 11 days because I hadn't gotten to reply to that client yet. The return was ready to file and I didn't even know."

3

No payment follow-up rhythm

She invoiced via email. Her bookkeeping retainer clients paid on net-30 terms. By May 1st, she had $8,400 outstanding β€” some invoices were 75 days old. She had sent follow-ups to three clients. The other nine hadn't heard from her about payment at all.

"I felt like I was being rude asking for money. But the real problem was that I had no system β€” I'd forget who owed what, and by the time I remembered, it felt awkward."

The Switch

She found Navoqo in January. Her first client file was live in 10 minutes.

Maria had tried a CRM once β€” she set up a trial of a popular project management tool her accountant friend used, spent an afternoon reading documentation, and abandoned it. She needed something that mapped directly to how she already thought about her practice: client files, stages, and payment due dates.

  1. 1

Created one workflow for her practice

She named her stages: Organizer sent β†’ Waiting on source docs β†’ In preparation β†’ Filed. She added a fifth for the extension season: Extension filed β€” Oct 15 deadline. Setup took six minutes.

  2. 2

Opened one file per active return

Each client β€” 47 individual 1040s and 12 retainers β€” got their own file with a due date and payment terms. She imported them in two batches over a Saturday morning.

  3. 3

Sent status page links to every client

Each client got a read-only status link β€” no login required. It showed their current stage, what document was still needed, and their balance. "Where's my return?" emails dropped immediately.

  4. 4

Set payment reminders inside each file

Every file with an outstanding balance had a reminder scheduled in the same view. Professional, consistent, tied to the actual work β€” not a separate "billing chase."

The Outcome

After Navoqo: busy season felt like a system instead of a fire.

By week three of February, the inbox had changed. By April 15th, the difference was measurable.

βœ“

Clients stopped emailing for status

The status page link did the work. Clients opened it β€” sometimes multiple times β€” instead of emailing. Maria moved a file to "In preparation" and the client saw the update on their own. She went from 23 weekly status emails to four in the third week of February.

Document blockers became visible and actionable

The "Waiting on source docs" stage made every blocked return obvious. Every Monday morning she filtered to that stage, reviewed the six or seven outstanding files, and sent follow-ups from the same view. The K-1 situation that cost her two weeks the previous year did not repeat.

βœ“

Payment follow-up ran on its own rhythm

Every file with an outstanding balance had a reminder scheduled. Clients received professional follow-up tied to the real context of their return β€” not a generic invoice email from a separate billing system. By May 1st, $7,200 of the $8,400 had been collected.

What Made the Difference

Three Navoqo features that changed how the practice ran.

Feature 1

Client status pages β€” no login required

Each client got a tokenized read-only link showing their current stage, any document still needed, and their balance. Clients bookmarked it. The "Where's my return?" emails stopped not because Maria asked clients to stop β€” but because clients had a better answer available instantly.

Feature 2

Workflow stages built around real filing steps

Instead of generic CRM pipeline stages, Maria used stages she already operated by. Moving a return from "Waiting on source docs" to "In preparation" the moment the 1099-B arrived triggered an automatic client update β€” no email to draft, no manual status note.

Feature 3

Payment reminders inside the same file

Invoice follow-up was no longer a separate mental task. Every client file showed the balance, the due date, and the reminder schedule. When a bookkeeping retainer hit 30 days outstanding, the reminder went out automatically β€” professional, consistent, not personal.

Extension Season

The workflow held through October 15th.

Eleven of Maria's clients filed extensions. She created a separate stage for them β€” Extension filed β€” Oct 15 deadline β€” and each file stayed visible with its own payment follow-up schedule running in the background.

No separate spreadsheet. No separate reminder system. The same workflow that ran her April 15 practice ran her October 15 practice without modification.

"I finally have one place where I can see every client, every stage, every payment owed. That's the whole practice. It's not complicated, but it used to feel impossible to manage."

For Tax Preparers and Bookkeepers

Run this year's busy season like Maria ran hers.

One workflow for client files, stage tracking, status updates, and payment reminders. No CRM setup project. First client file live in under 10 minutes.

No credit card required. 14-day free trial.

Illustrative scenario. This case study is a composite walkthrough based on typical workflows observed during Navoqo's early-access phase. "Maria" is not a named real customer. Numbers reflect realistic outcomes for a solo tax preparation practice of this size and client mix. Individual results will vary based on practice size, client behavior, and how consistently the workflow is used.
